Why schools switch

Cash at school causes the same problems every day

Lunch money gets lost

Children lose cash, spend it on the way, or have it taken. Parents never really know where it went.

No change at the counter

Queues slow down while staff hunt for coins. Small amounts are rounded, written down or forgotten.

No clear record

At the end of the day, the cash box and the notebook rarely agree — and nobody can say why.

Campus Pay replaces the cash with a card — and keeps a record of every payment.

How it works

Four simple steps

Nothing to install for parents. Staff use an ordinary Android phone.

  1. Step 1

Every student gets a QR card

The school sends us its class lists and prints the cards. The card only holds a number — not the student’s money — so a lost card is no risk once it’s blocked.

  2. Step 2

    Parents put money in

Each student has a wallet. Parents top it up with mobile money. The money stays the student’s until they spend it.

  3. Step 3

    Students scan to pay

At the canteen or on the bus, staff scan the card on a phone and tap what the student is buying. The price comes out of the wallet at once.

  4. Step 4

    The bursar checks the day

One page shows what parents put in, what students spent and what’s left. If it says “Balanced”, every cedi is accounted for.

For bursars and proprietors

Know where every cedi went

A simple dashboard for the school office. No accounting knowledge needed — it’s written in plain words.

  • A daily money summary

What came in, what was spent and what’s left in wallets — for the canteen, the bus and any other place.

  • Mistakes are easy to fix

Refund a meal or undo a double charge in two taps. Nothing is ever deleted, so the records always add up.

  • You stay in control

Set the prices, add staff, add scanner phones and block lost cards — all from the dashboard.

  • Reports when you need them

Download any day, week or month as a spreadsheet for your records or your accountant.

For parents

Pocket money that only works at school

Send your child’s money with mobile money, from wherever you are. No cash in their pocket.

  • Top up from your phone

Use mobile money to put money in your child’s wallet. It’s ready for them to spend straight away.

  • Safe if the card is lost

The school blocks the card and gives a new one. The money is still there — the card never holds it.

  • Spent only on what the school sells

Meals, snacks and the school bus. Nothing else.

  • No extra charges for you

Parents pay nothing on top. What you send is what your child can spend.

At the counter and on the bus

Quick for staff, simple for students

Seconds per student

Scan the card, tap the item, done. No change to count, so the queue keeps moving.

Any Android phone

The scanner app runs on an ordinary phone. The school adds it with a one-time code.

A PIN for each staff member

Everyone signs in with their own PIN, so you always know who charged what.

Easy for students

Show the card, get your food. If there isn’t enough money, the phone says so — kindly and clearly.

Works without internet

Bad network? Lunch still gets served.

If the canteen phone loses internet, staff keep charging as normal. Payments are saved safely on the phone and sent to the school by themselves once the connection is back.

  • · Each payment is counted once — never twice, even if it’s sent again.
  • · The school sets a small limit for payments made without internet.
  • · Anything that can’t go through shows up for the bursar to sort out.
No internet · you can still charge.

Safe by design

Built for money from day one

Campus Pay handles students’ money, so we built it like a small bank — careful, recorded and easy to check.

Lost card? Block it at once

The card stops working straight away. The student’s money stays in their wallet for the new card.

Nothing is ever deleted

Mistakes are fixed with a new entry, so you can always see what happened and who did it.

A daily “Balanced” check

Money in, money spent and money left must add up — every day. You see it on one page.

Every action is signed

Staff use their own PINs and office accounts their own passwords. Each change is in the activity log.

Pricing

Simple and fair

No setup fee and no monthly subscription. The school only pays a small share of what students actually spend — so if it isn’t used, you don’t pay.

Parents pay

Nothing extra

No fee on top-ups.

The school pays

3%of spending

Of canteen and bus purchases, worked out monthly.

Everything is included

Example: if students spend GHS 10,000 in a month, the school pays GHS 300.

Ask about your school

Questions

What schools usually ask

Can’t find your answer? Message us — we’re happy to explain.

What does the school need to start?

Your class lists (an Excel or Google Sheet is fine), at least one Android phone for each canteen or bus, and a printer for the cards. We help you set everything up and train your staff.

How long does setup take?

Usually a few days: we add your school, you send the class lists and prices, the cards are printed, and staff are shown how to scan. Most of it can be done in one visit.

What happens if a student loses their card?

The bursar blocks it on the dashboard and it stops working at once. A new card is printed for the same wallet, so no money is lost.

What if a student doesn’t have enough money?

The phone tells the staff member before anything is charged, so the student is never charged more than they have.

What if the canteen has no internet?

Staff keep charging. Payments are saved on the phone and sent to the school by themselves when the internet is back. Each payment is counted only once.

Can a parent get money back?

Yes. The money in the wallet belongs to the student. The school can refund it, for example when a student leaves.

Do parents have to install an app?

No. Parents top up with mobile money. Nothing to download.

How much does it cost?

Parents pay nothing extra. The school pays 3% of what students spend at the canteen and on the bus, worked out each month. There’s no fee on top-ups and no monthly subscription.
